Notes & Reminders

Notes let you jot down information and follow-ups against a Partner, a Contract, a Payment, or a Product — right where that record lives, and all in one place if you need the full picture.

Notes vs. reminders

Every entry is either a note or a reminder:

  • Note — a permanent piece of information: a title, some content, who wrote it, and when. There's nothing to schedule or complete.
  • Reminder — the same as a note, but with a due date and a done checkbox (unchecked by default). Use reminders for anything you need to follow up on by a certain date.

Notes and reminders are shown with different icons throughout SmoovOps: a small sticky-note icon for notes, a bell icon for reminders.

Adding a note or reminder to a record

Open any Partner, Contract, Payment, or Product and go to its detail view. The middle column lists everything already attached to that record.

  1. Click Add Note or Add Reminder above the list.
  2. Fill in a Title and Content.
  3. For a reminder, also set the Due date.
  4. Click Save.

The new entry appears in the list and opens automatically in the right-hand column, where you can review it at any time.

Viewing, editing, and deleting

Click any note or reminder in the middle column to see its full content, creator, and creation date in the column on the right. From there:

  • Edit — change the title, content, or (for a reminder) the due date.
  • Delete — removes it after you confirm.
  • Done — for a reminder, tick the checkbox (in the list or in the detail view) once you've followed up. Untick it to reopen a reminder you marked done by mistake.

A note can't be converted into a reminder or back — decide which one you need when you create it.

Reminders created automatically by a contract

Not every reminder is one you added yourself. Every contract automatically gets a reminder for its end date, and — if the contract has Auto-renewal configured under its Advanced options — SmoovOps keeps creating the next one as you mark each one done, for as long as the contract stays Active. These behave exactly like any other reminder: they appear in the contract's list and on the Notes page, and you edit, complete, or delete them the same way. The Notes page

Notes in the left sidebar opens a single page listing every note and reminder you've created, across all partners, contracts, payments, and products — no need to open each record individually to check what's outstanding.

  • Switch between Grid and List view, same as on the Partners, Contracts, Payments, and Products pages.
  • Each entry shows which type of record it belongs to (Partner, Contract, Payment, or Product).
  • Use the search box to filter by title or content, and the pagination controls if you have a lot of entries.
  • Click an entry to view, edit, mark done, or delete it — exactly as you would from the record's own detail page.

Once you've selected an entry, its detail view also shows a button next to the record-type badge — the same icon used elsewhere for jumping to a linked record (for example a payment's linked contract) — that takes you straight to the specific partner, contract, payment, or product it's attached to.

Creating a new note or reminder always happens from the specific Partner, Contract, Payment, or Product it belongs to, not from the Notes page itself — that way SmoovOps always knows which record a new entry is attached to.

Overdue reminders

A reminder becomes overdue once its due date has arrived and it hasn't been marked done yet. SmoovOps highlights overdue reminders in three places:

  • A yellow bell next to Notes in the left sidebar — visible from any page, so you always know at a glance whether something needs your attention.
  • The same yellow bell in the top navigation bar, just to the left of the light/dark mode switch — visible even if the sidebar is collapsed.
  • A yellow bell (and a yellow due date) on the reminder itself, wherever it appears — in a record's own detail view and on the Notes page.

Once you mark an overdue reminder done, or update its due date to a future date, the yellow highlighting disappears.
