Leads
Leads is an add-on that gives you a simple sales pipeline — capture a lead, qualify it, and convert it straight into a customer without re-entering anything. It sits outside the regular Free/Starter/Pro plans: it's enabled per account rather than included automatically with a plan upgrade.
Getting access
Leads is enabled by subscribing to the Marketing/Sales Funnel add-on (€9/month, per account) — the account Owner or an Admin can turn it on from Settings > Billing > Plan, on a paid plan (Starter or Pro). See Managing your plan for how. Unlike the page itself, the Leads link in the sidebar is always visible, entitled or not — if the add-on isn't active on your account yet, opening the page shows a short message instead of your data. Once it's active, no further action is needed, and if you unsubscribe from the add-on later, access turns off immediately.
Capturing a lead
Click New Lead and fill in a name, a source, and at least one way to reach them (email or phone). You can also add free-text notes. The available sources are Website, Referral, Event, LinkedIn, and Other — pick whichever best describes where the lead came from, so you can see your pipeline broken down by channel at a glance.
The pipeline
Every lead moves through a fixed set of stages: Lead → Qualified → Won or Lost.
- A new lead starts as Lead.
- Mark it Qualified once you've confirmed it's a real prospect worth pursuing.
- From either stage, you can mark it Lost if it doesn't work out.
- A lead only becomes Won through the Convert to Customer action below — it's never offered as a plain status you can pick directly, since becoming a customer also creates real records (see next section).
- Changed your mind about a Lost lead? A Reactivate button on its detail page sends it back to Lead, ready to work again — nothing else about it changes, so its contact details, source, and notes are all still there. A reactivated lead starts at Lead rather than jumping straight back to Qualified, so you re-qualify it the same way you would any other lead.
Convert to Customer
Once a lead is Qualified, a Convert to Customer button appears on its detail page. It opens a small confirmation panel with a contract name, value, currency, and start date — all pre-filled with sensible defaults, all editable before you confirm.
Confirming creates a new customer Partner and a Draft contract for them in one step, with no fields to re-enter, and takes you straight to the new contract so you can review it, adjust the value, and activate it. The lead itself is then marked Won and shows links back to the customer and contract it produced.
If your plan's contract limit has been reached, conversion is blocked with an inline message and a link to upgrade — the lead stays Qualified, nothing is left half-created. Converting a lead requires an internet connection: the button is disabled while you're offline rather than queuing the conversion for later, since it creates linked records across your account rather than a single simple edit.
Working offline
Leads follows the same offline pattern as the rest of SmoovOps: if you open the page while your connection is unavailable, it shows the most recently loaded leads instead of an empty page, marked with a loaded from local cache — server not reachable indicator. Creating, editing, and deleting leads still works offline — your changes are queued and sent automatically once you're back online. Converting a lead to a customer is the one exception: it always requires connectivity, as described above.
Import & Export
You can bulk-import and bulk-export your leads list, the same way as on the Partners and Contracts pages.
To import leads:
- Click Import at the top of the Leads page.
- Upload a CSV, Excel (.xlsx), or ODS file. The file must include a header row, with columns in this order: Name, Email, Phone, Source, Notes. Each row needs a name and at least one of email or phone.
- Review the preview and confirm the import.
Duplicate leads: if a row's Name matches a lead you already have (not case-sensitive), SmoovOps asks whether to merge the row into that existing lead or create a separate new lead with the same name. Merging overwrites only the fields the row actually contains (Name, Email, Phone, Source, Notes) and never changes the lead's pipeline stage — a merged lead stays wherever it already was in Lead → Qualified → Won/Lost. If your file has several rows that match existing leads, check Apply to all remaining duplicates to answer once for all of them instead of one at a time.
To export leads:
- Click Export at the top of the Leads page.
- Choose your preferred format: CSV, Excel, or ODS.
- The file downloads to your device immediately, including each lead's current status and the date it was created, alongside its contact details.
Export is useful for backups, reporting in a spreadsheet tool, or migrating your data to another system.
